The calls a physio clinic gets

- CallerHi, I hurt my knee playing netball on Saturday. Can I book in with a physio?
- ChimehillI can help with that. A first visit is an initial assessment, which is a longer appointment. I have Thursday at 7:30 am or Friday at 4:15 pm.
- CallerFriday, please. It's Sam Taylor.
- ChimehillThanks, Sam. That's saved in the diary: Friday at 4:15 pm, initial assessment. Is there anything else?
New patient assessment booked
- Books the initial-assessment appointment type
- New patient details taken for your records
- “Saved” only after the diary confirms
- CallerI need to move my follow-up on Wednesday.
- ChimehillNo problem. Can I confirm your name and date of birth first, so I open the right file?
- CallerPriya Patel, 22 August 1985.
- ChimehillThanks, Priya. Alex has Thursday at 12:30 pm or Friday at 8:00 am. Shall I move it to one of those?
Follow-up moved with the same physio
- Identity checked before the record is opened
- Re-checks the new slot right before saving
- Frees the old slot for someone else
- CallerDo I need a referral from my GP to see a physio?
- ChimehillGoing by the clinic's notes, you don't need a referral to book a private appointment.
- CallerWhat if my GP has given me a care plan?
- ChimehillThat's one for the team. I'll ask them to call you back this afternoon, and I can book your assessment now if you like.
Answered from your notes, the rest passed on
- Only says what your approved notes say
- Anything beyond them becomes a callback task
- A booking is still offered on the same call
- CallerI've got a WorkCover claim for my shoulder. Can I use it with you?
- ChimehillClaims need the team to check the details. I'll ask them to call you on Monday morning.
- CallerCan they also tell me what my health fund covers?
- ChimehillI'll add that to the note so they can answer both. They'll have your name and number.
Callback task for the front desk
- No guesses about Medicare, health fund or claim cover
- Both questions noted in a short summary
- Caller told when to expect the call
- CallerMy knee's sorer since I started the new exercises. Should I keep doing them?
- ChimehillI'm not able to advise on exercises or pain — that's a question for your physio.
- ChimehillI can ask your physio to call you back, or book the next available appointment. Which would you prefer?
- CallerA call back, please.
Passed to a physio
- Never gives clinical advice
- Urgent language follows your escalation script
- Physio callback with a summary
Chimehill runs the desk. Your physios run the care.

- Initial assessments for new injuries, booked as the longer appointment type
- Follow-ups with the treating physio, after an identity check
- Reschedules and cancellations, with your notice policy read out
- Prices, hours, parking, referrals and what to wear — from your approved answers
- Callers who want a person: a transfer or a callback task

- Pain, injuries and “is this exercise safe?” questions
- Health fund, Medicare care plan and invoice questions
- WorkCover, workers' compensation and third-party claims
- Anything outside your approved answers
- Urgent or emergency language — your escalation script
Administrative, never clinical
Chimehill never assesses, triages or advises. A caller describing pain or asking about their exercises is offered an appointment or a callback from a physio, and urgent language follows the escalation script your clinicians approved.
Your answers, your appointment types
It only books what you allow and only says what you've approved. Unsure means it hands over.

Questions clinics ask us
Can it book assessments and follow-ups with the right physio?
Yes. New patients are booked as your initial-assessment type, never squeezed into a standard follow-up slot. Existing patients are identified first, then offered their treating physio's real free times — or another physio if you allow that.
Can it tell callers whether they need a referral?
Only from the notes you've approved — for example, that private appointments don't need a GP referral. Anything those notes don't cover, like how a particular care plan applies, goes to your team as a callback task.
What about Medicare care plans, health funds and WorkCover?
Chimehill can share the admin facts you've approved, like whether you offer on-the-spot claiming. Questions about a caller's cover, a care plan or a WorkCover or third-party claim go to your team with a short summary.
What if a caller asks about pain, an injury or their exercises?
It never assesses or advises. It offers the next available appointment or a callback from a physio, and urgent language follows the escalation script your clinicians approved.
Which practice software does it book into?
Cliniko, Splose, PracSuite and Nookal. Chimehill reads live availability and only says an appointment is booked once your software has saved it. Using something else? Tell us when you book a demo.
Can we keep our clinic phone number?
Yes. You forward calls to Chimehill — all calls, only overflow while you're treating, or only after hours — and you can change that or switch it off whenever you like.
How much does it cost?
Plans start at $249 a month (AUD) for 100 calls; the recommended plan is $379 for 200 calls. Calls past your allowance are $2.70 each. Every plan starts with 14 days free and there are no lock-in contracts.
Will callers know they're talking to an AI?
Yes. Chimehill introduces itself as your clinic's virtual receptionist on every call, and a caller who asks for a person always gets your configured fallback — a transfer or a callback.
Every call deserves an answer.
