Answering service

An answering service is a team of people, usually working remotely, who pick up a business's calls when its own staff can't and take messages or handle simple requests from an agreed script.

An answering service is a team of operators who answer calls on a business's behalf when its own staff are busy or the office is closed. Most take messages, answer common questions from an approved script and pass anything urgent to a named contact.

Calls usually reach the service through call forwarding or an overflow rule, so it can cover the whole day, the busy hours or only after-hours calls. If operators can book appointments, a caller should hear that a booking is confirmed only once the booking system has saved it.

A virtual receptionist tends to work like a remote member of staff, managing bookings, transfers and follow-up, while an answering service concentrates on catching calls and taking messages. An AI receptionist does similar work with software instead of people, and still hands over to a person when a caller asks for one.

It suits any business that takes calls but can't always staff the phone, such as health practices, law firms and trades. A caller who hears a real voice is less likely to ring somewhere else, though messages still need someone to act on them later.

In the context of business phone handling, an answering service connects to virtual receptionists, AI receptionists, after-hours calls and missed calls because each makes sure a call the front desk can't take still gets an answer.
