AI receptionist for occupational therapy

Chimehill is an AI receptionist for occupational therapy. It answers while your OTs are out on home visits and books assessments into your software.

At a glance

  • The call is answered

Chimehill picks up as your clinic when your team can't, day, night and weekends, and works out what the caller needs.

  • Your diary is checked live

Before offering a time, it reads the real free slots in your practice software, using only the appointment types and practitioners you allow.

  • Saved, then confirmed

Bookings, moves and cancellations are saved in your practice software first. Only then does the caller hear it's done.

The problem

Your OTs are out on home visits. Calls keep coming.

In an OT practice the OTs are often in the car, in schools or in people's homes. Reception can't always pick up, and most of the calls are NDIS-funded families who need a straight answer. Chimehill answers each one, books the assessment where it can and takes a careful message where it can't.

What it does

Answer every call without stepping out of a visit

Photo of a paediatric-friendly OT practice reception running smoothly
  • Books initial assessments

Paediatric and adult initial assessments as the longer appointment type, into a real slot with the OT the caller asks for. New-client details are taken for your records.

  • Books reviews and follow-ups

Shorter reviews with the usual OT, after an identity check. A review never lands in a full assessment slot, and the old slot is freed on reschedule.

  • Takes home-visit requests

Home visits are planned by the team — Chimehill never books one itself. It takes the suburb, best time and reason-for-call, then creates a callback task.

  • Covers after hours

Evenings, weekends and public holidays: callers book or leave a message instead of ringing off. Parents calling after bedtime hear a calm, human-sounding voice.

  • Loops in your team

NDIS plan questions, assistive-technology enquiries, equipment prescriptions and anything clinical go to the practice as a callback. The AI never gives OT advice.

Integrations

Connect to the software you use daily

Chimehill reads your live diary in Cliniko, Splose, PracSuite or Nookal and books in real time. A caller is told they're booked only once your software saves it.

Careful with every call

Chimehill never assesses, triages or advises. A caller describing a child's symptoms, an adult's injury or an equipment question is offered a callback from the OT, and urgent language follows the escalation script your clinicians approved.

  • Never clinical. No diagnosis, triage or treatment advice
  • Checks who's calling before opening or changing a booking
  • Urgent or distressing calls follow the escalation script your clinicians approve
  • Tells callers they're booked only once your software confirms it

FAQ

Questions clinics ask us

Can it tell paediatric from adult OT bookings?

Yes. If you've set up separate appointment types for paediatric and adult OT, Chimehill books only the right one with the right OT. It confirms whether the caller is booking for themselves or a child before offering times.

Does it answer NDIS plan questions?

No. Plan cover, managed vs self-managed status, funding limits and reports all depend on the participant's plan, so they go to the practice as a callback task. Chimehill still books the assessment if the caller wants one.

Does it book home visits?

No. Home visits need your team to plan the route and check suitability, so Chimehill takes the suburb, best time and reason, then creates a callback task. It never schedules a home visit itself.

What about assistive technology and equipment questions?

Equipment, home modifications and assistive-technology prescriptions go to the OT as a callback — Chimehill never guesses what will be approved. A review can still be booked on the same call.

Where is caller data stored?

Identity is checked before any booking is revealed or changed, and summaries stay administrative — plan content and assessment detail are never discussed on the call. The practice sets what Chimehill can confirm and to whom.

Which practice software does it book into?

Cliniko, Splose, PracSuite and Nookal, live as of October 2026. Chimehill reads live availability and only says an appointment is booked once your software has saved it. Using something else? Tell us when you book a demo.

Can we keep our clinic phone number?

Yes. You forward calls to Chimehill — all calls, only overflow when the desk is busy, or only after hours — and you can change that or switch it off whenever you like.

How much does it cost?

Plans start at $249 a month (AUD) for 100 calls; the recommended plan is $379 for 200 calls. Calls past your allowance are $2.70 each. Every plan starts with 14 days free and there are no lock-in contracts.

Will callers know they're talking to an AI?

Yes. Chimehill introduces itself as your clinic's virtual receptionist on every call, and a caller who asks for a person always gets your configured fallback — a transfer or a callback.

Every call deserves an answer.
