AI receptionist for therapy practices

Chimehill is an AI receptionist for therapy practices. It handles intake and admin calls so you don't step out of a session for the phone.

At a glance

  • The call is answered

Chimehill picks up as your clinic when your team can't, day, night and weekends, and works out what the caller needs.

  • Your diary is checked live

Before offering a time, it reads the real free slots in your practice software, using only the appointment types and practitioners you allow.

  • Saved, then confirmed

Bookings, moves and cancellations are saved in your practice software first. Only then does the caller hear it's done.

The problem

New clients ring once. You can't step out of a session.

In a therapy practice the phone rings while you're in a 50-minute session, or in the evening when someone has finally talked themselves into calling. A missed call often means they don't try again. Chimehill answers each one calmly, books the intake if it can, and stays out of anything clinical.

    Mid-session

    The door is closed

You wouldn't take a call mid-session — but new clients still ring during that hour.

    Ten minutes to breathe

You write a note and refill the water. The phone rings three times.

What it does

Answer every call without leaving the room

Photo of a calm therapy practice waiting area
  • Takes new-client intakes

First-session appointments, telehealth or in-person if you offer both, into a real slot. It takes the practical details you need and leaves the clinical ones to you.

  • Handles reschedules

Moves and cancels sessions after an identity check, reads out your notice policy, and re-checks the new slot before anything is saved.

  • Routes insurance and billing questions

Insurance, out-of-network, superbill, sliding scale and payment questions go to your team as a callback — never a guess from the AI. The booking still gets offered.

  • Covers after hours

Evenings, weekends and holidays: callers book or leave a message instead of ringing off. New clients who call at 9 pm hear a human-sounding voice and get a time.

  • Follows your crisis protocol

Any distress or risk language stops the booking and follows the exact crisis steps you wrote and approved, then flags the call for urgent follow-up by your team.

Integrations

Connect to the software you use daily

Chimehill reads your live diary in Cliniko, Splose, PracSuite or Nookal and books in real time. A caller is told they're booked only once your software saves it.

Careful with every call

Chimehill never discusses symptoms or asks why someone is calling. If a caller uses distress or risk language, it stops the booking and follows the crisis protocol your clinicians wrote and approved, then flags the call for urgent follow-up.

  • Never clinical. No diagnosis, triage or treatment advice
  • Checks who's calling before opening or changing a booking
  • Urgent or distressing calls follow the escalation script your clinicians approve
  • Tells callers they're booked only once your software confirms it

FAQ

Questions therapists ask us

How does it handle a caller in crisis?

It stops the booking and follows the exact crisis protocol your clinicians wrote and approved — for example, directing the caller to emergency services and the crisis lines you choose — then flags the call for urgent follow-up. It never counsels, assesses or triages.

What's your HIPAA posture and do you sign BAAs?

Any US therapy practice considering an AI vendor should ask: do you sign a Business Associate Agreement; where is call data stored and for how long; what is logged, redacted and shared with sub-processors. Chimehill's current HIPAA posture and BAA availability are a founder decision in progress — ask us for a straight written answer before you sign anything.

Does it ask clients why they're calling?

No. It only takes the practical details needed to make or change a booking. It never asks about symptoms or reasons, and call summaries stay administrative.

Does it work with therapy practice software?

Chimehill is live with Cliniko, Nookal, PracSuite and Splose today. Platforms common in US therapy (such as SimplePractice and TherapyNotes) aren't live integrations yet — tell us what you use when you book a demo and we'll give you a straight answer on fit.

Does it cover evenings and weekends?

Yes. New clients who ring at 9 pm or on a Saturday get a human-sounding voice, an available time if you offer one, and a message or callback if they'd rather speak to you.

How is this different from a human answering service for therapists?

A human service writes down a message and gets back to you. Chimehill reads live availability, books the appointment into your software, follows your crisis protocol word-for-word, and gives you a written transcript of every call. For anything it shouldn't answer, it still passes a clear callback task to your team.

What's the best answering service for therapists in solo or small-group practice?

The honest answer is "the one you'd be happy to put between a new client and your diary". For many therapists that means a service that books into TherapyNotes or SimplePractice, follows a crisis protocol you wrote, and gives you a transcript — which is what Chimehill is built to do. For practices that need a licensed clinician on the line, a human service is still the right call.

Which practice software does it book into?

Cliniko, Splose, PracSuite and Nookal, live as of October 2026. Chimehill reads live availability and only says an appointment is booked once your software has saved it. Using something else? Tell us when you book a demo.

Can we keep our clinic phone number?

Yes. You forward calls to Chimehill — all calls, only overflow when the desk is busy, or only after hours — and you can change that or switch it off whenever you like.

How much does it cost?

Plans start at $249 a month (AUD) for 100 calls; the recommended plan is $379 for 200 calls. Calls past your allowance are $2.70 each. Every plan starts with 14 days free and there are no lock-in contracts.

Will callers know they're talking to an AI?

Yes. Chimehill introduces itself as your clinic's virtual receptionist on every call, and a caller who asks for a person always gets your configured fallback — a transfer or a callback.

Every call deserves an answer.
